Job Description: Office Administrator
Report to: Managing Director
Key internal relationships: Delivery team
External relationships: CITB, NFRC, NOCN, LCA, FTMRC, NSAC, Financial partners, Marketing, Website management, IT management, Facilities management
Although this role will be initially working from home on a part time basis, it is the intension that this will become office based once we have relocated our Hoddesdon training centre. We are proposing to relocate to Medway/ Kent areas.
Objectives:
- To be the hub of the business, providing efficient and effective operations and administrative functions to facilitate the training programmes for Hoddesdon and Salford.
- To support the growth of NCTS in achieving its financial, strategic and operational targets; and its vision to be a comprehensive training provider for all roofing disciplines.
Key Responsibilities:
- Assist with support and managing Tutors and Assessors
- Assist with booking of courses, trainers and attendees
- Prepare students packs
- Manage the whole administrative procedure from the initial booking through to certification
- Liaise and manage all relationships with accreditation partners, associations and federations
- Manage supplies for training centre canteen and workshop
- Assist with social media and marketing campaigns
- Update NCTS databases and monitor quality of information and review contacts
- Maintain processes procedures and Staff Handbook
- Assist in the development of additional quality control policy and procedures
- Assist in the preparation of documentation ready for external auditing
- Assist in maintain awarding body quality control
- Oversee candidate due diligence to ensure compliance with contractual requirements
- Prepare all relevant document for the monthly review meetings
- Liaise with remote working staff
- Keep stock of training materials used or ordered
Accounting
- Experience of book-keeping and accounting procedures would be an advantage.
Communications
- Review internal meeting processes; recommend what is required to fully engage colleagues and ensure transparent and relevant communication
- Review and execute the Marketing plan on events and social media in line with business strategy
- Review NCTS’s website and social media platforms
- Oversee NCTS membership of trade associations
- Attend trade association and networking meetings, as relevant, to keep up to date with changes in regulations, policies, best practice in the training industry
- Mentor and support less experienced colleagues
Candidate Profile
- An experienced administrator, self-motivated, used to working in a fast-paced small business with demanding timelines and end results
- Experience of managing complex relationships and negotiations
- Sound commercial awareness and judgement
- Confident and mature outlook, used to dealing with confidential information and issues
- High degree of autonomy and ability both to take decisions and to seek guidance /opinion as circumstances dictate
- Well-developed communication skills, both written and oral
- Proven ability to build sustainable relationships with all stakeholders
- Keen attention to detail with a starter/finisher profile
- Values which include a strong emphasis on team work, high levels of integrity, loyalty, openness, going that extra mile

Job Type: Temporary contract
Contract length: 12 months
Salary: £15,000.00-£18,000.00 per year
